Good business meeting transportation means every attendee arrives on time, rested and at the right door, and leaves the same way. In practice that is a private chauffeured vehicle sized to your group, a pickup plan built around flight and meeting times, and one person who can adjust the plan when the agenda moves. This guide covers how to choose the vehicle, build the schedule, brief the driver, plan for accessibility and understand what drives the price.

Book meeting transportation

TL;DR

  • Match the vehicle to the group: a sedan or SUV for one or two executives, a Sprinter van for a team, several vehicles for a delegation.
  • Give your provider passenger counts, flight numbers, exact pickup and drop-off points and a named contact on the day. Build in buffer time between legs.
  • Decide early whether you need a fixed transfer, hourly (as-directed) service or intercity travel, because each is arranged and priced differently.
  • Ask about accessibility needs when you invite people, not on the morning of the meeting.
  • Our airport transfer rates, extra stops, child seats and the Pearson airport fee are published on our rates page.

Table of Contents

What business meeting transportation actually covers

It is wider than a ride from A to B. For a single executive it is the airport pickup, the drive to the boardroom, the wait, and the return. For a corporate event it is the whole movement plan: who travels from where, in which vehicle, at what time, and who is in charge if something shifts.

The Government of Canada treats it that way too. Public Services and Procurement Canada’s event coordination service lists transportation among the items arranged alongside venues, hotels, catering, interpretation, security and audiovisual, within planning, budgeting and on-site management. Ground transportation is a workstream of its own, not an afterthought.

In our work, the building blocks look like this:

  • Airport transfers with flight monitoring and meet and greet, so the driver adjusts to the actual landing time.
  • Point-to-point rides between hotel, office and venue.
  • Hourly, as-directed service, where the car and chauffeur stay with your guest across several stops.
  • Intercity travel, for example Toronto to Niagara-on-the-Lake, Hamilton or further.
  • Group movement for conferences, roadshows and event days, with several vehicles coordinated together.

Choosing the right vehicle and service for the meeting

Start with who is travelling and how the day is shaped, then pick the format.

Situation Usual format Why it fits
One executive, airport to office Black car transfer Direct, quiet, time to prepare or take calls
Executive with a full day of meetings in several places Hourly car service One chauffeur, flexible stops, no re-booking
Small team to an offsite meeting SUV or Sprinter van Colleagues arrive together and can talk on the way
Visiting delegation from abroad Several vehicles, coordinated Arrivals on different flights handled by one plan
Meeting in another city Intercity transportation Door to door without parking or train transfers
Multi-day conference or event Managed fleet with a single point of contact Consistent timing across days and destinations

If your day is fixed (one pickup, one destination), a standard transfer is the clean answer. If it is likely to change, hourly service is built for that: you are paying for the chauffeur’s availability, so the agenda can move without new bookings. Read more about how this works on our hourly car service page, or see our overview of corporate chauffeur service in Toronto for what to book and check.

When a group needs more than one vehicle

A Sprinter van keeps a team together, which suits a shared pre-meeting briefing. But a delegation whose members land on different flights, or leaders who need separate schedules, is better served by multiple vehicles under one coordinator. The question to ask is not “how many seats do we need” but “how many different timelines do we have”.

Planning the details: counts, pickups, routes and timing

Most transportation problems on meeting day trace back to information that was never collected. Work through this order.

  1. Count passengers by arrival, not in total. List each person with their arrival flight or train, hotel and meeting role. Ten people can be three different pickups.
  2. Fix the pickup points exactly. Terminal and door at the airport, the hotel entrance, the building’s loading or drop-off area. “Downtown” is not a pickup point.
  3. Work back from the meeting start. Decide when people must be in the room, then subtract the drive, check-in or security time and a buffer. Toronto traffic is variable, so we advise setting the buffer before you see the day’s conditions, not after.
  4. Name one contact on each side. One person at your company who can approve changes, and a driver or dispatcher who can reach them.
  5. Share the full itinerary once. Meeting address, parking or entrance instructions, any VIP preferences, luggage expectations and who pays for what.
  6. Plan the return leg too. Meetings overrun. Decide whether the vehicle waits, returns at a set time or follows the agenda hourly.

Airport legs

For guests flying in, give us the flight number rather than just a time. We monitor flights, so a delayed arrival does not leave a driver idling at the wrong moment or a guest standing at the curb. Toronto Pearson has its own airport fee on top of the fare; ours is listed on the rates page. For a closer look at how pickups work, see our corporate airport transfer service and the airport pickup and drop-off guides.

Building contingencies for changing schedules

Meetings rarely run to the minute. Plan for the three changes that happen most often.

  • The meeting runs long. Choose hourly service or a flexible wait arrangement for any guest with a tight departure, so nobody races to the airport.
  • A guest’s flight is delayed or moved. Provide flight numbers and let your provider track them. Confirm who decides whether to hold the vehicle or reassign it.
  • A new stop appears. A client dinner or site visit is added. An extra stop is a priced item on our rates, so you know the figure in advance. That is easier than arguing about it in the car.

For events with several destinations, write down a “plan B” for each leg: a backup pickup location, a second route to the venue and the person who calls the shots if the main plan fails. A provider that manages the whole movement, not just a car, can carry that plan with real-time communication through the day.

International guests and cross-border meetings

Visitors from abroad add variables: unfamiliar arrival procedures, luggage, jet lag and sometimes a different language. Confirm arrival details early, share the chauffeur’s name and contact with the guest before they land, and agree the pickup location in the terminal. If the meeting is across the border, we offer cross-border limo service from Toronto to the USA; confirm travel documents with every passenger before booking.

International guests and cross-border meetings

Accessibility and passenger needs to confirm before the day

Transportation is where an otherwise well-planned meeting can exclude someone. Ask about needs when you send the invitation, then confirm with your provider.

The Government of Canada’s guide to planning inclusive meetings says transportation should be considered early enough for participants to arrange their travel and any accommodations. It also recommends checking the physical site rather than relying on a venue’s own claim, confirming barrier-free routes and entrances, and planning evacuation assistance for people who need it.

The City of Edmonton’s accessible meetings guide gives concrete benchmarks you can use as a checklist when you inspect a venue:

  • Accessible drop-off points should be within 50 m of a building entrance and have curb ramps.
  • Accessible paths should be barrier-free, stable, firm, slip-resistant and at least 1800 mm wide.

Short notice also matters. Nova Scotia’s accessible events guide points out that specialized transit such as Halifax’s Access-a-Bus needs seven days’ notice to book, so late meeting announcements can keep people from attending. The lesson applies anywhere: tell people the time and place early.

Before the day, confirm with your provider:

  • The number of passengers and any mobility aids or luggage that must travel with them.
  • Whether a child or booster seat is needed (we list it on our rates).
  • The exact drop-off door nearest the accessible entrance, and the contact who will meet the guest there.
  • Any preferences for pickup assistance, which the chauffeur should know before arrival.

If a guest uses a wheelchair or other mobility device, tell us at booking so we can discuss what is suitable for the trip.

How to choose and brief a corporate transportation provider

What to look for matters more than the vehicle photos.

  • Operational management, not only vehicles. Can the company plan the itinerary, track flights, coordinate several chauffeurs and respond in real time when the plan changes?
  • Clear service types. Transfer, hourly, intercity and group service should each be described plainly so you can book the right one.
  • Transparent pricing for the extras. Stops, seats and airport fees should be listed, not discovered on the invoice.
  • A named point of contact. Particularly for multi-day events, you want a person who knows your schedule.
  • Local knowledge. Venue entrances, building access rules and traffic patterns around Toronto, Oakville, Burlington, Hamilton and Niagara all affect timing.

What to put in your briefing

A useful brief fits on one page: passenger names and phone numbers, pickup times and places, destination addresses, the contact on your side, and the schedule for the return. Add anything that shapes the experience: a guest who needs quiet to prepare, a VIP who prefers minimal conversation, or luggage and equipment for a presentation.

For first-time buyers, our guide to what to expect from a professional chauffeur service and our explanation of what an executive car service is are good starting points. If you travel often, how chauffeur services make business travel easier shows what a managed arrangement looks like week to week.

What affects the cost of business meeting transportation

Price follows how much of the vehicle and chauffeur’s time you use and how complex the movement is. These are the main factors:

  • Type of service. A fixed transfer, hourly service and intercity trip are structured differently.
  • Distance and destination. An airport run, a downtown hop and a trip to Niagara Falls are not the same job.
  • Time. Waiting time, long meetings and multi-stop days change the total.
  • Vehicle and group size. A larger group may mean a van or several vehicles.
  • Add-ons. Extra stops, child seats and airport fees.

Our published airport transfer rates run from $83 to $1,670, depending on the trip. Add-ons are listed separately: an extra stop is $25, a child or booster seat is $20 and the Pearson Airport fee is $17.25 (all on our rates page). Hourly service, intercity travel, chauffeur service and event programs are quoted to the specifics of your day, so send us the itinerary and we will price it against that.

For budgeting, collect the complete itinerary before asking for quotes. Quotes built from “about ten people, some time Tuesday” are the ones that change on the day.

Our perspective: transportation is part of the meeting

We see meeting transportation as the first and last impression of your event. A guest who is met at arrivals, taken straight to the door and returned on time arrives ready to do business. A guest stuck in a queue or waiting at the wrong curb arrives already behind.

That is why we do more than supply vehicles. We plan the itinerary, monitor flights, coordinate chauffeurs and stay in contact while the day unfolds, because meeting schedules move and the transportation has to move with them. It is the same approach whether the job is one executive transfer or a multi-day program with dozens of passengers and several destinations.

Our aim is to combine the personal attention of a boutique company with the operational discipline that corporate travel demands. Give us the agenda and the people, and we will handle the movement.

FAQ

How far in advance should I book transportation for a business meeting?

Book as soon as the date and attendee list are confirmed. Early booking gives time to collect flight numbers, plan pickups and confirm accessibility needs. For large groups or busy event periods in Toronto, earlier is better, and you can send updates as details firm up.

Should I choose hourly service or a fixed transfer?

Use a fixed transfer when the pickup and destination are set. Choose hourly service when the day has several stops, the end time is uncertain or the guest’s plans may change. With hourly service the chauffeur stays available, so the schedule can shift without new bookings.

What information does the chauffeur need?

Passenger names and phone numbers, flight numbers for airport pickups, exact pickup and drop-off addresses, the time each person must arrive and one contact who can approve changes. Mention luggage, equipment, child seats and any accessibility needs at booking.

Can you handle guests arriving on different flights?

Yes. We monitor flights and coordinate chauffeurs so each guest is met on their own arrival time. Group them by arrival when you send the list, and we will plan the vehicles around that.

How do I make meeting transportation accessible?

Ask guests about their needs when you invite them, and tell your provider at booking. Check drop-off points and entrances in person: Edmonton’s guide suggests drop-offs within 50 m of an entrance with curb ramps. Give guests the pickup details and the chauffeur’s contact in advance.
